Privacy Policy

This Privacy Policy describes how WalthroTech, LLC ("WalthroTech", "we", "us") collects and uses personal information in connection with the LeagueCanvas platform (the "Service"). It covers the LeagueCanvas platform site (leaguecanvas.com) and the organization sites we host for our customers.

1. Two Roles: Platform and Processor

For platform accounts (organization administrators who sign up at leaguecanvas.com), we act as the data controller of your account information. For the member data inside each organization's site (players, parents, coaches, umpires, customers), the organization is the controller and we process that data on its behalf to provide the Service. Questions about a specific organization's practices should go to that organization.

2. Information We Collect

Platform accounts: name, work email, phone (optional), organization details, and billing information. Organization sites: the information an organization and its members enter — profiles, rosters, registrations, bookings, schedules, messages, and payment records (card details go directly to the payment processor; we do not store full card numbers). Automatically: log data, device/browser information, and cookies needed for sign-in sessions and site function.

3. How We Use Information

To provide, secure, and support the Service; to provision and operate organization sites; to send transactional email and notifications (confirmations, reminders, account messages); to bill platform subscriptions; to troubleshoot and improve the Service; and to comply with law. We do not sell personal information, and we do not use organization member data for advertising.

4. Service Providers

We use vetted service providers to run the Service, including Microsoft Azure (hosting, databases, storage, identity via Azure AD B2C, and email/SMS delivery via Azure Communication Services) and payment processors chosen by each organization. Providers receive only what they need to perform their function.

5. Children's Information

Platform accounts are for adults. Organization sites may store youth participant information entered by the organization, parents, or guardians; that data is controlled by the organization, collected under its authority (typically with parent/guardian involvement), and processed by us solely to provide the Service.

6. Retention and Deletion

We retain platform account data for as long as the account is active and as needed for legal and billing purposes. Organization data is retained while the organization's subscription is active and is made available for export, then deleted, after termination. You may request deletion of your platform account data at any time.

7. Security

Each organization's data lives in its own isolated database, sign-in is handled by Azure AD B2C (we never see or store your password), data is encrypted in transit, and access is restricted and logged. No system is perfectly secure — report concerns to the contact below.

8. Your Choices and Rights

You can access and update your platform account information in your profile, and opt out of non-essential communications. Depending on where you live, you may have additional rights (access, correction, deletion, portability) — contact us to exercise them. For member data on an organization's site, contact that organization; we will assist it in honoring your request.

9. SMS and Email Communications

Transactional messages (confirmations, schedule changes, reminders) are sent as part of the Service. Where SMS is offered, it requires explicit opt-in, and you can opt out at any time by replying STOP.
